BEC has developed a Web-based Project Management System (PMS) that offers a unique combination of functionality and technical flexibility. As a comprehensive software, this system includes modules for Account Management, Resource Management, Workflow Implementation, QA System, Knowledge Management, PO/Invoice Management, Sales Management, Business Management, and Performance Management. All of these modules are set up independently to ease future upgrades.


1. Account Management

The account management module provides a convenient way to manage our great number of clients. Client information, requirements, cooperation history, contracts and agreed quotations are recorded in the system. It is easy to refer to previous projects to maintain consistency for a client's new project and thus preserve a good relationship. In addition, a special client portal was developed to allow our clients to access the system to check project progress on a real-time basis.

2. Resource Management

The resource management module in PMS makes our resource allocation visible. The availability status of internal and external resources is recorded on a daily basis. Project managers coordinate available resources for upcoming projects or reserve suitable resources for planned projects. Additionally, the human resources manager is able to make recruitment plans according to expected project volume and available resources.

3. Workflow Implementation

This system is specially customized for the needs of localization and translation project management. The entire project workflow is implemented in the system, from project kick-off, human resource allocation, file distribution, and TEP (Translation, Editing and Proofreading) to QC (Quality Control) processes and project sign-off. It offers an integrated and visualized process for project management.

4. QA System

The QA system in PMS is an integrated management platform for QA related tasks. Therein, the QA specialists evaluate team members' performance and their compliance with the regulated project workflow based on their output during the production process, such as Language Quality Reports, Language Quality Assurance reports checklists, surveys (please check details in
Quality Assurance Kit), client feedback and so on. With effective data mining and analyzing tools, corresponding reports are provided to our human resources department and senior management, with the aim of continually optimizing our production teams and workflow.

Our performance evaluation is quality oriented, which means that "Quality is the boss who pays our salary" is not just a slogan.

5. Knowledge Management

Our various references, valuable experience and skills, and technical specifications are saved in the knowledge database of this system. Staff from different branches can access the system to search materials, share information, and get support. An internal forum was built to provide a platform for staff to communicate, discuss questions, or announce new learning. A directory of our books and materials is also listed in the system.

6. Purchase Order (PO)/Invoice management

This module automates the creation of POs and invoices so as to make our project management highly efficient. A purchase order is generated automatically upon the approval of a project, and an invoice is prepared to be sent out to the client when the project is submitted. In addition, a report summarizing the payable projects and payment results is prepared for management to review the current accounting situation.

7. Sales management

The powerful sales management module covers the whole sales working process, including collecting and analyzing client information, recording cooperation progress and marketing activities, and expecting the date for final completion. It helps the sales team share information and resources in time, offer support to each other and work together to pursue the best achievement as a whole team.

8. Business management

The statistics function of the system aids management in surveying and analyzing the overall operation, thereby helping them develop a business strategy. Reports and diagrams are generated for management to review business growth, financial status, and performance evaluation results.

9. Performance Management

Staff performance is evaluated through the system. Real-time information such as query reports, finished TEP files, and client feedback is uploaded by team members and responsible staff. Project Managers monitor the project progress, check the submitted files and give evaluations for team members. Editors and QA managers also submit their evaluations to the system. Performance evaluation records finally come to the human resources department and QA directors for monthly review.
